Titan Supply Chain Solutions manages automotive parts distribution across 12 warehouses in North America. Their manual inventory processes caused costly errors, delayed shipments, and stock discrepancies that cost millions annually. We built an N8N automation layer that synchronizes inventory in real-time between their legacy ERP systems, supplier portals, and e-commerce platforms. The result is near-perfect inventory accuracy, automated supplier reordering, and elimination of manual data entry across their entire operation.

[ 01 ] The Challenge

What We Faced

Titan Supply Chain operated with a patchwork of systems that didn't communicate. Their 12 warehouses each used different inventory management software. Three regional ERPs tracked financials separately. Suppliers required manual order placement across 47 different portals. E-commerce sales deducted inventory from one system while warehouse stock sat elsewhere. The result was catastrophic: 14% of online orders failed because inventory showed available but was actually sold weeks ago. Warehouse staff spent 22 hours weekly manually updating spreadsheets. Suppliers were overstocked on slow-moving parts while best-sellers sat backordered for months. The CFO estimated annual losses of $2.3M from write-offs, rush shipping fees, and lost sales. Their existing IT team couldn't solve the integration challenge with traditional methods — they needed a lightweight automation layer that could connect everything without replacing their core systems.

How We Solved It

We deployed N8N as a central automation hub, creating 47 distinct workflows that connect every system in real-time. The architecture uses webhook listeners that trigger inventory updates the moment any change occurs — whether a sale on Shopify, a receipt in Warehouse 7, or a supplier shipping notification. Key workflows include: bidirectional sync between all 12 warehouse WMS systems and central inventory database; automated purchase order generation when stock falls below thresholds, routed to the correct supplier portal with login automation; real-time inventory deduction across all sales channels simultaneously; supplier performance monitoring that automatically flags late shipments; and daily reconciliation reports comparing physical counts against system data. We built human-in-the-loop approval workflows for orders above $50,000 and automated exception handling for discrepancies. The entire system runs on a single N8N instance with error notifications to Slack and automatic retry logic for failed API calls.

How We Got There

System Discovery & Mapping

Spent two weeks documenting every system, data flow, and manual process across Titan's 12 warehouses. Identified 47 supplier portals with different login requirements, 3 ERP systems with incompatible data structures, and 19 spreadsheets acting as critical "integration" points. Mapped the true cost of manual processes through time-tracking studies.

Workflow Architecture Design

Designed an event-driven architecture using N8N as the central nervous system. Planned webhook listeners for real-time updates, scheduled syncs for batch processing, and error-handling strategies for each integration point. Created data transformation layers to normalize between system formats.

Supplier Portal Automation

Developed 47 custom workflows for supplier portals using N8N's HTTP request nodes with complex authentication handling. Built credential storage and rotation mechanisms. Implemented headless browser automation for portals without APIs, using Puppeteer nodes with fallback selectors.
