Prestige Realty Group, with 180 agents across 12 offices, was losing leads to competitors due to slow response times. Their agents received leads from Zillow, Realtor.com, their website, social media, and 18 other portals — but had no system to prioritize or respond quickly. We built an N8N automation hub that captures every lead in real-time, scores them by intent and value, sends instant personalized responses, and routes hot leads directly to agents' mobile phones. Average response time dropped from 4.5 hours to 47 seconds, and conversion rates increased by 47%.

What We Faced

Prestige Realty was hemorrhaging potential clients. Their 180 agents received leads from 23 different sources: Zillow, Realtor.com, their corporate website, Facebook Lead Ads, Instagram DMs, walk-in inquiries, open house sign-ups, and referral partners. But there was no unified system. Some leads sat for days before an agent noticed. High-value buyers requesting $2M+ properties got the same generic email as renters looking for studios. Agents cherry-picked the easy leads while complex opportunities went cold. The brokerage calculated that 68% of inbound leads never received any response at all. When they did respond, average time was 4.5 hours — by which time competitors had already engaged. The company was spending $47,000 monthly on lead generation but converting only 12% of leads to appointments. Their CRM couldn't handle real-time automation, and agents refused to check multiple platforms constantly. They needed a system that would do the work for them.

How We Solved It

We deployed N8N as a real-time lead processing engine with AI-powered prioritization. The system monitors all 23 lead sources via API connections and webhooks, instantly capturing every inquiry. A lead scoring workflow analyzes property value, timeline (rent vs buy within 30 days), message length and urgency, and past interaction history. High-value leads (buyers over $1M, urgent timelines) trigger immediate SMS to the best-matched agent with property details and client context. Medium-value leads receive instant personalized email responses with relevant listings and calendar links. Low-value leads enter nurturing sequences with educational content. All leads sync to their CRM with tags reflecting source and score. Agents receive a daily "hot leads" digest and can opt into instant notifications for specific criteria. The system also tracks response times and sends manager alerts when leads age beyond thresholds. We built custom connectors for platforms without APIs using webhook capture from Zapier as a bridge.

Cataloged all 23 lead sources and their delivery methods. Documented which had APIs, which used webhooks, and which required polling. Interviewed top-performing agents to understand what makes a lead "hot" in their book of business.
